Becta Home Access programme<br>

Becta Home Access programme

The Government scheme which provided grants to enable over 250,000 low income families to have access to a computer and/or the internet in the home. On behalf of the programme, Capita Communications managed design, print and distribution of:

  • Consumer grant application forms
  • All customer correspondence, such as notice of entitlement letters, grant rejection letters, a range of Home Access packs for customers and much more
  • Design and build of six different templates for data mail merge, each containing 350,000 data inputs
  • Design of all the marketing collateral and promotional material for the national launch of the scheme, including posters, leaflets, banners, business cards and presentations
Educational Maintenance Allowance (EMA)<br>

Educational Maintenance Allowance (EMA)

During the four year contract, Capita Communications provided the following services to support the administration of the EMA:

  • Document design such as letters, application forms, marketing literature and stationery
  • Production of over two million application packs, each containing multiple inserts
  • Data matching of over 400,000 application packs containing learners’ personal details
  • Printing of cheques to pay eligible learners
  • Distribution of customer correspondence

Capita Communications has provided the Capita Financial Group (CFG) with an e-delivery solution. IFA statements are no longer mailed to advisers, but are made available on a secure web portal. An email is sent to the IFA containing a link to their statements. This has helped CFG to:

  • Improve data security – by reducing the risk of losing sensitive data in the post or being misplaced by a customer
  • Reduce costs – including postage, stationery and printing costs
  • Lower its carbon footprint – through reduced printing volumes

Capita Communications helped Swindon Borough Council achieve 20% savings by replacing inefficient desktop printers with fit for purpose multi-functional devices (MFDs) which offer combined printing, scanning, photocopying and faxing facilities. Using a cost per click costing model, the Council had better visibility of print spend – and parameters set up on the devices helped to protect data security.

In partnership with Birmingham City Council, Capita Communications introduced an electronic quarantine system for its Revenues’ Summons processes. This meant that the Council could view and delete documents on-line before printing and mailing (for example, when charge-payers have paid, had their summons withdrawn or made an arrangement).

In introducing electronic quarantine, the Council has been able to reduce the costs of unnecessary print and postage as well as inbound calls and complaints from unhappy or concerned customers – so helping to improve the reputation of the service.
